July 16, 2021

This article summarised:

  • An LMS can help your training organisation grow, here’s why:
  • An LMS can make your training organisation more adaptable and resilient with online training capabilities
  • Having an LMS will help your training organisation meet learner expectations and improve business reputation
  • An LMS can save time and money in the long run
  • An LMS that’s integrated with an SMS creates a streamlined business with better communication and more efficient administration
  • A good LMS will help make compliance easier.
  • How to choose the right LMS for your training organisation

Recently, we’ve seen some articles floating around about why purchasing a Learning Management System (LMS) isn’t worth it – ‘it’s too fancy’, ‘it’s too expensive’, ‘it’s too complex’.
While for some training organisations this may be true at the very beginning stages of the business, most training organisations can benefit from having an LMS – including the ability to grow your business, to have better adaptability by having online training capabilities, and to meet learner expectations.

The ideal LMS allows a training organisation to deliver educational courses effectively, giving learners and trainers access to classes, learning materials, assessments, progress, certificates and more.

Let’s go through the top 6 reasons why RTOs who have an LMS are better equipped to succeed – and how to choose the right LMS for your training organisation.

1. Accelerated business growth (pun intended)

Put simply, training organisations who have an LMS (integrated with an SMS) are better equipped to grow as a business than those who don’t. This is because an LMS equips RTOs with the tools to improve training and assessment capabilities. When an RTO has the ability to train and assess a larger volume of learners with a stellar system, business growth becomes easier to achieve. Streamlined admin processes, more efficient communication and no files getting lost allows you to have more time to focus on the important activities that will help your business grow.

2. Adaptability and resilience with online training

The attractive flexible nature of blended learning for learners also means more agility for RTOs. With unexpected changes (not least the global pandemic) having a training option that is adaptable and resilient to outside forces makes all the difference between an RTO that survives, and an RTO that thrives.

One of the most important features of a good LMS is online assessments that engage learners, and that trainers/assessors appreciate using. Trainers should also be able to monitor learners’ course progress in an LMS, including seeing if learners are regularly logging in and undertaking their learning. Running these reports in the LMS will streamline the process of documentation of evidence of learner progression through online delivery[3].

3. Improved learner experience

It's a no-brainer that RTOs should create and deliver interactive training and assessment that learners find engaging. We’ve all seen the never-ending studies and conversations about reduced attention spans and ‘Zoom fatigue’. Trainers should be able to use an LMS to create highly engaging lessons, content and assessment that learners can then progress through and complete through a Learner Portal app or on the web.

Another tool trainers can take advantage of is Learning Plans. Having well structured and current, engaging resources that cater to a range of learning styles can help improve learner engagement and completion rates. Learning Plans can help achieve this by allowing trainers to schedule, order and present online course content and assessment in learning modules that guide the learner through step-by-step.

In the digital age, learners want and expect flexibility from a reputable training organisation. The features of a good LMS will provide this flexibility, alongside a great user experience for everyone.

4. Saving time and money

A good LMS is definitely an investment for many RTOs, but one that can save money in the long run. The efficiency an LMS can give to your current processes in administration, communication, reporting, documentation and more means that there’s more time to focus on growing the business, taking care of your learners and being a training leader in your industry.

5. LMS + SMS – benefits of a one system solution

If the LMS is integrated with your SMS, creating a one system solution, you can unlock a seamless workflow for learners and staff. All features, including compliance, reporting, surveys, assessment and more, are all connected and stored in the same place.

6. Easier Compliance

An LMS can take the stress out of reporting with simple, automated compliance. RTOs should have access to key features like an NCVER integration, a trainer matrix and compliance automation, so that you can stay compliant without complaint.

Plus, the 4 principles of assessment will become easier to implement than ever. Using a good LMS to create and manage your online assessments is a sure-fire way to succeed at staying compliant and delivering engaging assessment to your learners.

Which LMS is right for my training organisation?

With the seemingly endless list of LMSs out there, choosing the right one means there’s a lot of research and comparison to be done. However, there are some standard considerations that are good to think about when choosing an LMS. They are:

  • Features – make sure the LMS has all the features you need to stay compliant, including creation and management of course content and assessment, online enrolments, integrated eLearning, learning plans and work-based learning.
  • Pricing – an LMS is an investment. Make sure you’re choosing an LMS based on the best fit for your RTO, not on the cheapest initial price – you’ll thank yourself in the long run.
  • Ability to meet compliance requirements (an integration with an SMS is important here)
  • Flexibility with assessment types – rich, engaging, and aesthetically-pleasing assessment will be at the core of driving student progress. An LMS that allows the creation of assessment modes with varied question types and formats will make this process a lot more simple and rewarding.
  • Assessment validation and retention – RTOs need to check that their assessment tools have produced valid, reliable, sufficient, current and authentic evidence.
  • Assessment mapping – this is a valuable tool for developing and reviewing assessments, and for easily showing performance assessors (auditors) evidence of compliance.
  • Integrations – a good LMS/SMS will integrate with a CRM like HubSpot, accounting systems like Myob, a CMS like Wordpress and more – for when you want to keep growing.
